AI and your data
Last updated: 5 November 2026
Evidence Board is built to work with the AI assistant you already use: your own ChatGPT, Claude, Gemini, Grok or Perplexity. This page says what that means for your case files. The Privacy Policy has the full detail.
Evidence Board makes no AI requests of its own
Our servers don't send your cases to an AI model, with one exception: transcribing audio on Pro and Team.
- When you upload a document, we take its text without AI (a PDF's text layer, Word, email, spreadsheets, plain text).
- When you upload a video, we take still pictures from it on our own server, without AI.
- Audio, on Pro and Team only: when an audio file or a video is uploaded to a case whose owner is on Pro or Team, we send its sound to Deepgram to be transcribed, through Deepgram's EU service, opted out of its programme for improving its models. Only the sound is sent, only when it is uploaded, and Deepgram doesn't keep it afterwards. The transcript stays on the board as that file's text.
Nothing else of your case content goes to any AI provider from us. (Until October 2026 the app itself sent case content to Anthropic for reviews and chat; it no longer does. Logs of those requests are kept only as the Privacy Policy sets out.)
Your assistant works on your account
You connect your assistant to Evidence Board through our connector: you sign in to Evidence Board and approve it, and with two-step sign-in on, you give a code too. From then on it works as you.
- What it can read: the cases you can see, as you see them. In a case shared with you as a viewer it can read but not change, and it doesn't receive items marked confidential unless you see them.
- What it can change: the boards you can edit. It can make cases; add items, files, web pages, people, links, events, pins, text and maps; save what it reads in a photo or scan, and its reviews; arrange the board; and delete items. What it adds is marked with the assistant that added it.
- What it can't do: delete a case, share one or change who's on it, or touch your plan, billing or account settings.
- When it adds a web page, our server fetches that page to keep a copy, and won't fetch addresses on private networks.
You can see the assistants you've connected on your account page, and disconnect any of them. That stops its access at once.
Your assistant's provider
What your assistant reads from your cases goes to its provider (OpenAI for ChatGPT, Anthropic for Claude, Google for Gemini, xAI for Grok, Perplexity AI for Perplexity) under your own agreement with them, and your settings there, including whether your conversations may be used to improve their models. We don't control that. If you work on other people's data, check that your plan with that provider suits it.
No training on your cases
We don't train AI models on your case content, and we don't sell it or give it to anyone to train theirs. Deepgram is opted out of using the sound we send it to improve its models.
